Why You Need A CRM For Your Notary Business

Ok, are you already asking, WHAT IS A CRM? Maybe you're also asking, “WHY DO I NEED ONE?” Fair questions, but answering the first will answer the second. And don’t worry, before this blog post is through, I will introduce you to the CRM designed by Notaries for Notaries, and the deal of the century.

What is a CRM?

CRM is an acronym for Customer Relationship Management. It is software or a platform that replaces the traditional spreadsheet. You know what I am talking about, right? You went to a networking event and came home with 30 business cards, what do you do with them? Maybe you pull out a notebook and list them all, what businesses they work for or at, and some plans to stay in touch. Or maybe you're using excel spreadsheets. Or you’re like my dad who still has the old-school business card Rolodex. If you don’t know what that is here is a link. CRMs offer a more succinct and productive way to capture your contacts and track your relationships, sales, and value with them.

So why do you need a CRM for your notary business?

You are running a business, right? You do have and need customers to keep that business moving forward? Well, that is why you need a CRM. Having the right CRM allows for better customer retention, increased sales, and business analytics. All of that puts the most important part of your business in one place, and if chosen correctly, right at your fingertips.

How Does It Work?

A CRM consolidates all communications (form fills, calls, emails, text messages, and meetings), documents, quotes, purchases, and tasks associated with each lead and client. (KEAP) Does that all sound confusing? Check out this short video explanation from KEAP HERE

A CRM will automatically organize your contact lists based on your criteria, making it easy to find the ones you want to contact at any given time. You can sort contacts by location, gender, age, buyer stage, and more.

The right platform will give you tools to easily reach out to contacts and clients. It should make it easy to ask for reviews and to follow up. A good CRM will allow you to do fun things like record a video message that gets sent out to new appointments on what to expect at the signing. It takes the enormous full-time job of customer retention and growth and streamlines it into a functional algorithm that works specifically for you and your business.

CRM Is not just for big businesses.

CRMS clearly can work wonders for giant businesses. But the reason they can work for small businesses just as well is that the average person knows somewhere around 600 people. That's the average person. How about the people who are doing jobs like ours? Notary work. I have met, easily, 700-800 people just in my day-to-day business life since it started. And the average person will easily meet or know over 80,000 people in their lifetime. My point is you know people, you have clients, and you are running a business. If for no other reason than productivity, increased sales, and revenue, a CRM is for all businesses. Quite frankly, this process of information collection on the people we know and meet should be taught in high school, because everyone should have some version of a CRM.
